Worldbuildingex will return in 2020

Previous rounds

2019 collection (88 works in 60 fandoms)
2018 collection (72 works in 56 fandoms)
2017 collection (75 works in 49 fandoms)

The collection is no longer anonymous, and is also now closed with 88 works in 60 different fandoms, including quite a few late treats that have only recently been uploaded - do check them out!

Thank you very much to everyone who participated, whether by signing up, pinch hitting, beta-ing, or just general cheerleading. If anyone has any feedback about how this round went, feel free to leave it on this post.

I am currently planning for the exchange to come back next year on a very similar schedule; I'll post late December/early January to confirm (I may tweak things slightly depending on my work schedule, which I won't know for certain until then).

The collection is now revealed!

I hope you enjoy your gift(s). Please do comment to let your creator(s) know, or if there is a problem with a gift get in touch with me so that I can sort it out. (Please remember that as of this round you must acknowledge your gift to be eligible for future rounds.)

I usually link works in unwrangled fandoms (which therefore don't show up in the Fandoms view) in this post; I didn't spot any during story checking this time around, but I may have missed some. Please let me know if I have and I'll edit them in.

Finally, just a note that while I will be on email this weekend and will respond asap to any queries I receive, I am travelling for family reasons (good ones, please don't worry) so "asap" may not be the same as "immediately".

All assignments are now in, so barring extremely unforeseen circumstances that keep me from getting online at the right time, the collection will open at 2155 UTC on Friday 22nd, approx. 48 hours from now. (Countdown)

Many, many thanks to everyone for all their hard work getting to this stage. As per the previous post, you can edit your work as much as you like up until reveals, and treats can be added any time up until creator reveals on the 29th.

The vast majority of assignments are now in; thank you to everyone, especially the pinch hitters. All remaining open assignments are either post-deadline pinch hits, or one of a handful that I have given a further extension to. I will check all of these at 2155 UTC on Wednesday (originally advertised as the due date for the most recent batch of pinch hits) but please do get in touch if you need a bit of flexibility beyond that point.

Overall, I am currently feeling optimistic about the collection opening on time at 2155 UTC on Friday 22nd (just over four days away). You can edit as much as you like between now and then, but please note that over the next couple of days, I will be checking for the most obvious sorts of placeholders/unfinished works; in general, your work at this stage should at least pass the "bus test" (if you were involved in an accident tomorrow such that you were unable to get back online, would your gift at least meet the minimum requirements?). If you think I might mistake a deliberate choice you have made for evidence of the work being a placeholder (the risk of this seems to me to be highest for works further over to the in-universe meta side of the equation), please email me at worldbuildingmod@gmx.com to explain.

The collection will remain open for treating until the anon period ends at 2155 UTC on the 29th.

The assignment deadline has now passed. Thank you to everyone who has got their assignment in, or contacted me about extensions - unless I have told you something different individually, I am going to treat all extensions as running until 1400 UTC on Monday 18th (countdown) - as far as I can tell, this gives everyone the weekend, whatever time zone they're in. (And, to be honest, it fits in well with my schedule on Monday.)

At this stage, there are six pinch hits, two that have been advertised already and four new ones arising in the last 24 hours. Please comment on this post with your AO3 name if you can help with any of these; comments are screened. The deadline for all of these pinch hits will be 2155 UTC on Wednesday 20th March, though I am open to negotiation on this; please get in touch via email (worldbuildingmod@gmx.com) or dreamwidth DM if you want to discuss an alternative deadline for any of these.

There are just over 24 hours to go as of this post until the assignment deadline. Thanks to everyone who has already uploaded, and everyone who is still beavering away (if you think you may need a short extension, please do get in touch).

The due date for both of the pinch hits below will now be 2155 UTC on Wednesday 20th March. (This will also be the due date for any post-deadline pinch hits that appear tomorrow night.) Please comment on this post with your AO3 username to claim; comments are screened.

There are three post-default-deadline pinch hits. To claim a pinch hit, please comment on this post clearly stating which pinch hit you are interested in and your AO3 username. All comments are screened; comments will not be replied to -- if you see a pinch hit marked as claimed but it wasn't assigned to you, then someone else got it on that occasion. (You are, of course, more than welcome to treat.)

ETA: Sue date for these is currently March 15, 2155 UTC, along with other assignments, but there is some flexibility - get in touch if you want to discuss a different deadline.

Assignments are due a week today at 2155 UTC. (Countdown.) Many thanks to everyone who has already uploaded.

Today is the nominal "default deadline"; however, since there are no extra penalties for defaulting later on, it exists more as a moment for reflection about how your assignment is going.

If there are any pinch hits that come about as a result of people choosing to default now, I will post them at some point over the weekend.

Somewhat relatedly, I am definitely open to discussions about extensions; I would, in general, much rather grant extensions that turn out to be unnecessary than be scrambling around at the last minute. Please get in touch via email at worldbuildingmod@gmx.com if you would like to ask for one.

Beta post

[personal profile] worldbuildingmod
We're just over halfway through the creating period; there are a little under three weeks to go until the deadline for works to be uploaded. (Countdown here.) As such, this seems like an opportune moment for people to offer their services as betas, if they wish; the comments of this post are available for this purpose.

If you're offering, please specify at least:

  • which fandoms you can help with
  • the type of beta you can offer
  • anything you can't beta
  • how people can best contact you to ask for your help

If you're a creator needing help finding a beta, and there isn't anyone in the comments here offering what you need, please contact the mod in the first instance. Posting directly in the comments here asking for help may make it too obvious what your assignment is.

All initial pinch hits have now been claimed. Many thanks to all the pinch hitters.

For people considering treating, here is a Google doc of all this year's requests from AO3, which might be easier to search than the AO3 Requests Summary page itself.

I will put up a post this weekend where people can volunteer to help with beta-ing, etc. If there are any other things people feel it would be helpful to have at this stage, please do let me know.

Thanks to the unmatchable participants replying very promptly, assignments are now ready! I very much hope you enjoy creating something for your recipient.

There are seven eight initial pinch hits, which will follow shortly.

I will also open the collection for uploading, just in case inspiration strikes anyone immediately. I am not putting the collection on moderated this year -- it seems that while this makes it marginally easier to fix the "reveals bug" on the mod end, this doesn't actually prevent its worst effects (immediately sending a non-anonymous gift notification email to the recipient). The only way to avoid it entirely is to save your work as a draft first when uploading and check that the "This work is part of an ongoing challenge and will be revealed soon ..." message appears. Please see here for detailed instructions on how to do this.

ETA: Obviously, these assignments are going out somewhat earlier than the originally stated date of the 1st. If you are looking at a locked/placeholder letter, please be patient until then. You are welcome to contact me to let me know in advance, but I won't be contacting anyone about such issues until that date.

There are two participants with no potential recipients as the requests and offers currently stand.

I have emailed the people concerned using the email addresses attached to their AO3 accounts; if you have not received such an email, you do not need to take any action at this time.

I intend to allow 48 hours for replies, but they may get back to me somewhat sooner. On the other hand, I am about to go to bed, so even if they reply instantly I won't see it until the morning, but assignments could come out any time in the next 12-48 hours (Tuesday morning-Wednesday night, UTC time).

Sign ups are now closed.

I will now run matching; expect an update of some sort or another in the next hour or two.

Sign ups will close at 2155 UTC.

Everything seems to have gone very smoothly so far; certainly, I haven't heard from anyone that they've encountered difficulties in signing up. If there are any last minute snags, please do send me an email at worldbuildingmod@gmx.com to let me know.

I will be offline for the next few hours but back on at about 2130 UTC. I do plan to close sign ups on time, so that I can run the initial stages of matching and see if I need to contact anyone about not having any potential recipients before I head to bed. If you are running it very close to the wire, I strongly recommend doing a bare bones sign up with just your DNWs and a letter link and then filling out the details in the letter later. (But hopefully not too much later.)

As last year, [personal profile] raininshadows has kindly agreed to co-ordinate a spreadsheet collating information from participants who are open to receiving works in different formats to those covered by the freeform tags used for matching. In particular: podfics, vids and interactive fiction (IF).

Please use the template below to indicate that you are such a participant, deleting sections if they're not needed.

Letters giving details of your requests/prompts/etc. are not required (requests will be visible throughout sign ups), but if you do write one, you can leave a link here so that other people can find it easily. Treats are very much encouraged in this exchange, and letters are often a good way for potential treaters to find potential treatees.

If you want to advertise your letter, leave a comment on this post with at least:

  • Your AO3 username
  • A link to your letter

And (optionally but helpfully):

  • Which fandoms you are requesting
  • Which types of fanwork you are open to receiving

If you wish, you can cut and paste the template below into your comment:

NB Please don't link to placeholder or locked letters here; if I spot any I will screen the comment in question until you message me to say that it's finished.

A smidge early ...

Sign ups are now open!

Here is the tag set on AO3 and as a spreadsheet. In the event of any discrepancies that have crept in between the two, the AO3 version should be taken as authoritative.

Don't forget that because of the way fandoms are defined for this exchange, many are classified under "Uncategorized Fandoms" on the AO3 tag set interface.

Some key points about signing up:

  • Requests: 3-10 You can use more than one slot for the same fandom, but there must be at least three different ones overall. (In terms of fandom tags in the tag set. It's OK if they're different versions of the same canon.)
  • Offers: 4-10 As for requests, you can use more than one slot for the same fandom, as long as there are four different fandoms overall.
  • For each request and offer, you have 8 character slots and 8 worldbuilding slots (in the "Relationship" section), and you can request/offer one, two or all three of the "Fanfiction", "Fanart" and "In-Universe Meta" freeforms.
  • The "Any" tickbox is disabled for requests (but remember that you can use multiple slots for the same fandom), but it is enabled for offers. Please make sure you are confident about creating for any tag in the tag set for that fandom if you are using it. (Please note that this is not quite the same as a "bucket offer" as found in Yuletide and some other exchanges, in that you can't add additional tags to represent further fandoms you are happy to offer Any for.)
  • OR Matching You are only guaranteed to match on one character and one worldbuilding tag, in one fandom. Your requests should not rely on the idea that people have signed up to create for all your requested tags. Your offers should all be for things that you would be happy to create for even if that's the only tag you matched on.
  • "Any or No Characters" is used to indicate a willingness to receive/create works where the focus is on the worldbuilding to the point that which, if any characters appear is secondary. This is not the same meaning of "Any" as the AO3 tickbox (where it means "any tag in the tag set"). Requesting the tag means you are open to receiving any canon character, any character implied to exist by canon, any original character dreamt up by your creator, or no characters at all. (It is OK to DNW characters you don't want to appear if using this tag.)
  • Requests will be visible throughout sign ups.
  • DNWs Do Not Wants (DNWs) will only be enforced if they are in the Optional Details box on the AO3 sign up form. As a creator, you should avoid including your recipient's DNWs in the work you create for them. However, please do not use your DNWs in an overly restrictive way to box your creator into a corner.
  • ODAO With the exception of DNWs, the principle of ODAO - Optional Details Are Optional - applies. This means both that you do not have to provide them at all if you don't want to, but also that your creator is not obligated to follow any that you do provide.
  • Some tags may not autocomplete as you enter them, but they will still work if you cut and paste them from the tag set. This is a known AO3 bug of long standing.

If you have any concerns or queries that the above list doesn't help with, or encounter any difficulties in the sign up process, please do ask, either by commenting here, or if you prefer to do it privately via email to worldbuildingmod@gmx.com or using the DW messaging system.

The letters post and an opt-in post for other media (podfic/vids/IF) will follow shortly.
